Microsoft has updated its global cloud storage policy for colleges and universities worldwide. To ensure we can continue providing reliable and sustainable services for everyone, HKU SPACE is introducing some new storage management arrangements.
What's changing
Notifications

Q2 2026: We will notify all students and alumni of the upcoming OneDrive changes via their school email addresses.
For Alumni

⚠️ Important: Review your files, delete or download NOW.

Jan 1, 2027: Alumni OneDrive accounts will switch to "Read-Only" mode (you can view or download files, but cannot upload new ones).

Jun 1, 2027: Discontinuation of Alumni OneDrive Services

Storage: 0 GB (OneDrive services will officially end).

⚠️ Please Note: All alumni OneDrive files will be permanently deleted and cannot be recovered.

For Students

Student Departure Arrangement: When you graduate or leave the school, your OneDrive data will be held for 30 days.

⚠️ Please Note: After this 30-day grace period, all OneDrive data will be permanently deleted and cannot be recovered.

What stays the same

There is no changes to Email services.

There is no changes to Staff and Teachers' OneDrive services.

Student Storage Limits:

Full-time (FT) Students: Remains at 100 GB.

Part-time (PT) Students: Remains at 10 GB.

What you need to do
Alumni:

⚠️Before Jun 1, 2027: Download your OneDrive files to personal storage if you want to keep them.
Students:

Clean up: Get into the habit of regularly clearing out unnecessary files to save space.

School Work First: We recommend using your Microsoft 365 storage specifically for academic and school-related work.

⚠️Backup Early: Before you graduate or leave, please make sure to download and back up any files you wish to keep.
